Organizer Guide

RS Event Manager runs RuneScape clan events in Discord. You set up a bingo or a tile race here, the bot builds the roles and channels in your server, players submit their progress in Discord, and staff approve it. This guide walks an organizer from inviting the bot to ending an event.

  1. Get organizer access
  2. Invite the bot
  3. Create an event
  4. Assign teams
  5. Start the event
  6. Run the event
  7. End the event

1. Get organizer access

Log in with Discord. You can create and manage events in any server where you have the Administrator permission. A server admin can also open that server's Settings from the dashboard and choose an Event Manager role; members with that role can create and manage events too, but cannot delete them.

Permissions are read when you log in, so log out and back in after they change.

2. Invite the bot

The bot must be in your server to create roles and channels. Use the invite link in the dashboard's getting-started panel, or just start creating an event: when you pick a server without the bot, the setup wizard opens Discord's invite window and continues once the bot has joined.

3. Create an event

Open Create Event and choose a type:

  • Bingo: teams complete tiles on a board from 3x3 to 8x8, earning tile points plus bonus points for each completed row, column or diagonal.
  • Tile Race: teams move along a path you draw, with chutes and ladders. Each completed tile rolls a die up to the maximum you set and moves the team ahead.

The wizard has five steps:

  1. Event details: name and server. Optional start and end times, shown in your timezone with a Discord timestamp preview, and an optional Wise Old Man or TempleOSRS competition link sit in a collapsed section; captain roles, team categories and (for bingo) line points sit under Advanced options.
  2. Board: the bingo board size, 5x5 unless you pick another, or the tile race path and dice maximum. A tile race board starts with a snake path you can keep, redraw or add chutes and ladders to.
  3. Tiles: name and configure each tile on the board or in the table view, which edits every tile at once. Import / export tiles downloads an example spreadsheet, exports your current tiles, and imports every tile setting from a spreadsheet file or a paste from Sheets or Excel. Tile race tiles left unnamed get a placeholder name you can change later.
  4. Teams: at least two uniquely named teams. Team 1 and Team 2 are filled in to start; rename, remove or add teams. A competition link can fill them in for you.
  5. Review and create.

To go faster, pick a starter pack or one of your templates under Quick Start on the same page. The wizard opens with it loaded and, after the event details, goes straight to review unless a step still needs your input.

Once the event details are filled in, Create now, add tiles later creates the event straight away with a full board of blank tiles (or the template's tiles) and the current teams. Blank tiles get placeholder names, and starting the event asks you to confirm while tiles are still unfinished.

Once the event has a name and a server, your progress saves automatically as a draft. Save & Exit returns you to the dashboard, and the dashboard's Draft tab lets you continue later.

Creating the event sets up your Discord server: a role and private channels for each team, a shared announcements channel, a staff role, and staff channels with a validation channel for approving submissions. A tile race also gets a race progress channel showing the board.

4. Assign teams

After creation the wizard opens the event's team assignment page. Add validators (staff), drag server members onto teams, mark captains, then press Finish Assignment to return to the event page, which links back to team management.

5. Start the event

Open the event from the dashboard. A bingo starts with Start Event. A tile race needs Finish Setup first, then Start Race. Staff can also use /startevent in Discord.

6. Run the event

Players submit tile completions with /submit in their team channel and check progress with /board and /leaderboard. Staff approve or reject submissions by reacting in the validation channel. The event page links a public board you can share with anyone.

7. End the event

Press End Event (bingo) or End Race (tile race) on the event page, or use /endevent in Discord. Afterwards, Clean Up Discord backs up the event channels to a downloadable ZIP of PDFs and removes the event's channels and roles. Results stay in the dashboard's Event History.
